| Email Support |
|
Part-time, full-time, or temporary staff are assigned email. Email accounts generally are firstname.lastname@state.or.us. We occasionally will use the employee’s middle initial if needed to create a unique id.
Staff is allowed 75 MB of email space. We encourage employees to use archiving and psts but in cases that the email space needs to be increased you may request so using this form. You must have your manager’s approval.
DAS staff and client agencies use MS Exchange services. Exchange offers the following benefits:
Web-based access Convenient web browser access to nearly all Exchange features, including mail, calendaring, contacts, tasks and public folders.
Calendar and Meeting Management
Exchange allows users to view and share calendars. This allows for workgroup and inter-department collaboration and meeting scheduling. Users can easily schedule meetings by viewing each person’s availability.
Task Management
Assign tasks to yourself and others along with update notifications.
Archiving Exchange users can archive old email on their personal or division/unit network folder to free up space.
There is no size limit for psts but we ask that you keep them under 2 GB. (1 – 1.5 GB is ideal). The larger your psts are more difficult they become to manage and run the risk of becoming corrupt. To avoid this scenario you may create separate folders for each of your exchange folders when archiving to ensure you keep the psts size small.
The standard path to save psts is: \\SERVERNAME\DIV\UNIT\HOME\%USERNAME%\MAIL
To read more about how to create psts click here.
You can always call the TSC Helpdesk to assist you with archiving, or your local Technician.

| Remote Access to Email and Files |
|
For users that have telecommuting agreements or occasionally need to access email or network folders and resources from their home computyer we have a few ways solutions in place.
Citrix
Is a secure application that allows remote access to the DAS network as well as resources on the network you may not have at home such as MS Office applications and other applications.
To get Citrix access at home you will need to complete a form and get manager approval of what applications you need access.
Outlook Web Access
With Microsoft Exchange one of the features we use is Web Access. This allows you to check your mail from home using the same logon creditials you use at work. To get Outlook Web Access, you need to complete a form and get manager approval. Not all features of Microsoft Outlook are available from Web Access.
|
| Network Access and Security |
|
TSC provides service to the DAS network and security groups. Each Division has it's own directory and staff are added to security groups as necessary for each Division/Unit or Business Function. We take direction from the Division or Unit manager when allowing access to folders via security groups.
To allow staff read or modify rights to a folder, have the manager send TSC an email requesting access. Be sure to include the full path (\\servername\Div\Unit|foldername) and the level of access required. Read for Read only or Modify for Add, Change or Delete.
For new users an "User Change Form" is required. This is also true with departing staff or transferring staff. You can find the form and instructions here.
