GENERAL INFORMATION
This position is with the Oregon Student Assistance Commission in Eugene, Oregon.
The recruitment will be used to establish a list of qualified candidates to fill one full-time permanent position with the Oregon Student Assistance Commission.

TO QUALIFY
Your PD 100 application form and cover letter will be reviewed to verify that you meet the qualifications stated in this section. To receive credit, your application form must clearly show that you have:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
An Associate’s degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
To receive credit for all required/related coursework, you must submit a photocopy of your transcripts with your application.
IF YOU QUALIFY there is no test for this job. If you meet the "To Qualify" requirements of this announcement your name will be placed on the list with a code of QLF (qualified).
DESIRED ATTRIBUTES
We are seeking candidates with a work history that demonstrates:
- Experience with front desk reception duties
- Experience managing software databases and distribution lists
- Ability to manage paper and electronic record keeping files
- Experience with multiple account banking deposits
- Strong organizational skills
- Proficiency with Microsoft Office Software including Word, Excel, Access, Outlook, etc.
- Attention to detail
Note: Preference may be given for one or more years of general clerical experience at full performance levels.
DUTIES AND RESPONSIBILITIES
The purpose of this position is to provide agency reception and general clerical support for OSAC Administration.
General Office Duties
- Ensure daily front desk receptionist coverage.
- Answer telephone calls. Screen and direct callers to appropriate staff. Provide routine information in response to inquiries.
- Greet visitors, screen and direct inquiries to appropriate staff; answer general questions regarding OSAC programs.
- Maintain general storage/office supply areas. Inventory, order, receive and distribute agency supplies, including lifting/moving boxes of copy paper. Organize and maintain storage cabinets, drawers, and bins.
- Prepare and process outgoing mail. Maintain counts and reconcile with monthly billing, assuring adequate postage credit.
- Prepare bank deposit documents, confirm totals, and make deposits within agency guidelines.
- Monitor and forward faxes to appropriate staff.
- Prepare and process shipments and monitor invoice for adequate shipping credit balance.
- Maintain various electronic and paper filing systems. Sort material for filing. File and retrieve material as needed.
- Create and maintain contact and distribution lists, as well as other databases of information.

- Monitor office equipment and submit required information for monthly reporting. Submit service calls as needed.
- Respond to written requests for information from the public through the use of standardized letters, applications, or postcards.
- Copy, scan, and collate complex packets of information.
- Perform miscellaneous data entry tasks.
- Maintain conference room and OSAC staff calendars and schedule meetings using Microsoft Outlook
- Make travel arrangements (air, hotel, car).
- Maintain first-aid kit supplies and track fire extinguisher checks/maintenance.
Meeting Specific Duties
- Assist Executive Assistant with preparation for meetings
- Provide clerical support, including copying, scanning, and collating complex packets of information
- Arrange conference rooms weekly for a variety of meetings including monthly Commission meeting by moving and arranging tables and chairs per specific requests.
- Order, set up and prepare coffee, hot water, and food service
- Prepare draft meeting notes/minutes
WORKING CONDITIONS
- Office Environment
- Monday through Friday work schedule with occasional overtime
- Ability to physically rearrange conference room tables and chairs
- Occasional job-related statewide travel by automobile
