GENERAL INFORMATION
This position is with the Oregon Student Assistance Commission in Eugene, Oregon.
The recruitment will be used to establish a list of qualified candidates to fill one Part-Time Limited Duration position with the Oregon Student Assistance Commission. The duration of this position is through June 30, 2011

TO QUALIFY
Your PD 100 application form and cover letter will be reviewed to verify that you meet the qualifications stated in this section. To receive credit, your application form must clearly show that you have:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
An Associate’s degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
To receive credit for all required/related coursework, you must submit a photocopy of your transcripts with your application.
IF YOU QUALIFY there is no test for this job. If you meet the "To Qualify" requirements of this announcement your name will be placed on the list with a code of QLF (qualified).
DESIRED ATTRIBUTES
We are seeking candidates with a work history that demonstrates:
- Strong organizational skills
- Experience in planning training conferences and workshops including preparing handouts and minutes
- Experience managing software databases and distribution lists
- Ability to manage paper and electronic record keeping files
- Proficiency with Microsoft Office Software including Word, Excel, Access, Outlook, etc.
Note: Preference may be given for one or more years of general clerical experience at full performance levels.
DUTIES AND RESPONSIBILITIES
The purpose of this position is to provide clerical support to the Scholarship and Access Programs work unit.
General Program Support
- Organize and maintain paper and electronic recordkeeping for program activities, including time-sensitive and confidential information, files and distribution lists.
- Maintain databases. Perform miscellaneous data entry tasks such as entering private award and ASPIRE site application data and award info into the database and sending award notifications.
- Assist with the collection and organization of surveys, agreements, evaluations and other reports required by programs. Assist with tracking applications, payments and in-kind contributions.
- Assist with the processing and review of applications according to guidelines. Assist with the preparation of private award applications for scholarship selection committees.
- Assist with the disbursement process to schools including the check-ordering process, mailing check batch documentation to schools and maintaining files of returned, signed confirmation sheets.
General Office Support
- Assist with generating, editing, copying, and distributing a variety of correspondence, forms, grants, publications, spreadsheets and reporting tools.
- Process approved Leave Request forms, collect time sheets from Scholarship and Access program unit staff, check approved time used.
- Process UPS shipments and occasional bulk mailing projects. Prepare copies of other materials as needed by other staff.
- Answer general questions from the public. Route specific questions about student eligibility and awards to the appropriate Scholarship Portfolio Coordinators.
- Provide back-up for front-desk reception and general office support
- Provide back-up for Scholarship Processing Coordinator
Meeting and Outreach Support
- Provide clerical support, including meeting handouts, minutes, and logistical arrangements for all meetings and conferences.
- Make meeting travel arrangements.
- Maintain the agency outreach calendar for college fairs and statewide college financing presentations.
WORKING CONDITIONS
- Office Environment
- Monday through Friday work schedule or as agreed upon
- Occasional statewide travel by automobile and overnight stays
