The Department of Administrative Services, State Controller’s Division (SCD), Administration Section is seeking a limited duration (6/30/11), part time Administrative Specialist 1 to work in Salem. This position is represented by the Service Employees International Union (SEIU)/Oregon Public Employees Union (OPEU). The State Controller’s Division is responsible for statewide financial accounting, reporting and administration of the statewide accounting system for more than 100 state agencies.
The Administrative Specialist position provides administrative support to the State Controller’s Division and is responsible for producing documents and publications, maintenance and support for the division web sites and contact lists. Under the guidance of the Administrative Manager, this position is responsible for the coordination of purchasing, property/inventory control, billing and invoice processing, space and telephone management and office equipment evaluation. Through exchange of information, this position provides a timely flow of information and services to division personnel who support a customer base consisting primarily of state agencies.
TO QUALIFY:
Your State of Oregon PD100 application form and cover letter will be reviewed to verify that you meet the qualifications and desired competencies stated in this announcement. To receive credit, your cover letter and PD100 must clearly show that you have:
- Three years of clerical/secretarial experience which includes two years at a full performance level performing typing, word processing, or other generation of documents and coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience. No substitution will be made for the two years at the full performance level.
NOTE: Employment is contingent upon the outcome of a criminal records check (LEDS) which may require fingerprints (FBI) and pre-employment drug screening. Any history of criminal activity will be reviewed and could result in the withdrawal of the offer or termination of employment.
WORKING CONDITIONSFast paced traditional office setting with frequent use of personal computer, telephone, fax machine, printer and copier. The incumbent may need to lift boxes weighing up to 50 pounds. Occasional overtime is required during various times of the year to meet deadlines.
DESIRED COMPETENCIES
We are seeking candidates with a work history that demonstrates experience in the following areas:
- Proficiency with a variety of software applications to include: MS Word, Excel, Access, Outlook, PowerPoint, Publisher and Visio.
- High level proficiency in word processing, spreadsheet design and data manipulation skills.
- Publication layout experience with general knowledge of printing processes and materials.
- Electronic file management and directory structure.
- General knowledge of graphic and web design.
