MEDICAL RECORDS CONSULTANT
(FAS Data Abstractionist)

$2,530 - $3,670 MONTHLY


This employment opportunity is with the Public Health Division, which is part of the Department of Human Services (DHS).  There is one full-time opening within the Office of Women’s and Perinatal Health located in PORTLAND.  A union represents the person in this position.
 
QUALIFICATIONS 
 
Two years of local health department and/or special health program medical records experience which included responsibility in supervision, consultation, and training AND a Bachelor's degree in medical records.
 
Three more years of experience as described above may substitute for the degree.
 
NOTE:  Candidates who posses a Registered Records Administration (R.R.A.) are highly desirable.

  • Discuss your communication methods with staff at the hospital, clinic, or doctor's office where you obtained the records?
  • Experience in working conditions where confidentiality was very important.  What tools or policies did you use to maintain confidentiality?

DUTIES AND RESPONSIBILITIES
 
The purpose of this position is to coordinate with hospital and clinic staff from other agencies who maintain data sources and conduct data abstraction activities for the Fetal Alcohol Syndrome Prevention Program.  The Project is a comprehensive public health initiative with the goal of reducing the number of children affected by the prenatal use of alcohol.  Its components include assuring understanding of FAS and related disorders, establishing monitoring systems to evaluate the population affected and establishing a program of intervention and counseling directed at women who use alcohol, are sexually active, and are fertile. 
 
Major duties include:
 
Develops and maintains collegial relationships with hospital and clinic records managers and staff. Contacts hospital and clinic records staff to arrange for identified patient files to be pulled for review. Arranges time for on-site record review. Travels to hospitals and clinics to review and abstract records. Supports and monitors data submissions from reporting hospitals, clinics, facilities and other agencies and consults on data coding requirements. Provides status reports on the performance of each facility regarding coordination of record access.
 
Works with FAS Data Manager to assure accuracy of: identification of conditions put under surveillance; recording charted data from hospital and clinic records; and in the entry of data into data file. Provides summary reports on completion of site visits. Assists with quality control by providing reports of errors in data entry identified through visual edits.
 
WORKING CONDITIONS
 
This position requires frequent in-state travel, and some overnight travel.  You must have a valid driver's license and an acceptable driving record.
