This employment opportunity is with Children, Adults and Families, which is part of the Department of Human Services (DHS). There is one part-time opening (approximately 20 hours per week) located in Medford. This position is represented by a union.

QUALIFICATIONS
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes and operations; OR an equivalent combination of training and administrative support experience.
One year of postsecondary education may be substituted for up to one year of the experience.

DUTIES AND RESPONSIBILITIES
This position is responsible for administrative duties for Service Delivery Area (SDA) 8 Manager, SDA 8 Management team, as well as oversight for SDA 8 Administrative Unit personnel staff. The position ensures the business integrity of all aspects throughout the SDA by overseeing SDA personnel/payroll, volunteer program, safety, training, threat reporting, position management, time verification, TRACS/RACF Administrator, data access agreements for partners, motor pool, equipment inventory and video conferencing.
The major duties include:
- Develop, plan, assign and review project work of administrative staff with the SDA Admin Unit.
- Analyze performance/production to identify and monitor the quality and quantity of work; initiate action to improve deficiencies.
- Ensure all business practices and procedures are up to agency standards, by completing periodic reviews of SDA Unit procedures and processes.
- Monitors all position movement, double fills, position authorizations, position postings, salary exceptions, temp approvals, positions on FMLA, personnel actions, WOC status, LWD status, position transfers, end dates and new allocations.
- Protect data from accidental or unauthorized disclosure, or data changes or destruction by permitting only authorized users to have access.
- Oversee safety compliance issues between branches to ensure offices adhere to federal and department regulations and guidelines.
- Manage and maintain DHS Online Training Registration System for agency staff and community partners.
- Participate in various SDA meetings such as Labor Management and Jackson County Service Integration.
WORKING CONDITIONS
Occasional Travel. You must have a valid driver's license and an acceptable driving record. If not, you must be able to provide an alternate method of transportation.
Occasional time will spent in Salem at meetings or work groups.
