Category Column – breaks the standards down into the 6 major headings:
•         Personal Computers
•         Other Hardware
•         Software
•         Printers & Scanners, and
•         Americans with Disabilities Act (ADA) Required Technology

Description – This column lists the generic type of item within the category column. It will help locate a type of hardware, software or other technology item. For example, if you were looking for a standard flat panel monitor for a computer, you could locate the current standard by viewing the Other Hardware column and locate the monitor entries under the Description column.

Product – The Product column provides amplifying information about specific items, such as the screen size for a computer monitor, the brand name of a piece of software, or the model number for a brand name and model number for the current standard for a color inkjet printer.

Note - It is important to note that some software listed is a DHS standard requires a business justification. This applies to highly specialized software for such tasks as desktop publishing, geographical information, flowcharting/diagramming, and data query tools.

Standard – This column indicates whether the item is a DHS standard. There are cases where there will not be a DHS standard. For example, there is no DHS standard for a laptop docking station because the docking station is specific to the type, brand and configuration of the laptop itself.

Purchase or Order – This column indicates who has the responsibility for ordering the IT item; the Division or OIS. Because of recent statewide purchasing contracts and “smart buy” agreements and state mandated asset tracking, OIS will order all IT items for the Division, even though in some cases the Division actually pays for that item.

Charge to Budget of – This column identifies who is responsible for actually paying for the IT item.

Yearly Maintenance – Some IT items require a yearly maintenance contract where a vendor conducts yearly maintenance. Some IT items require yearly maintenance that OIS conducts, and for other IT items there may be no yearly maintenance required. This column identifies if any ongoing maintenance is required for the IT item.

Support – This column identifies who is responsible for the support that the IT item requires. For some IT items, OIS or a vendor may provide support. For others, it may be the cluster’s responsibility to provide support. An example of an item that OIS would support is a video card. An example of an IT item that a Division might be responsible for supporting would be a digital camera.

Asset Tracking – This column indicates who has the responsibility for tracking the IT item. In most instances, this will be OIS. But, for some items, such as a personal digital assistant (PDA) or a digital camera, it would be the cluster’s responsibility to track the item with a standard DHS employee property tracking form.

Notes – Any amplifying information or links to additional information for the IT item will be listed here.

Delivery Time – This column provides an average estimated delivery time for items once they have been ordered.
