This position is with the Tigard Branch of the Division of Child Support, which is dedicated to establishing paternity and child support orders, and enforcing child support obligations in cases involving families who are receiving or have received public assistance, and in certain non-assistance cases. We are looking for an office specialist to contribute to our mission. In this position, you will provide outstanding customer service while accurately executing quality work products.

 

The Governor has ordered mandatory furloughs to be taken by all employees during the 2009-2011 biennium due to the economic downturn and subsequent state budget short-fall.  The total number of unpaid furlough days to be taken during the biennium is determined by the employee's monthly salary and date of hire. Because of this, the advertised salary does not reflect the impact of furlough days required of this position.   However, the impact of one furlough day on one's monthly salary should not exceed 5%.

Primary Job Responsibilities:

  • Compare and validate data on computerized records with other documents; add delete or change information to maintain accurate care records.
  • Monitor, determine, and take action on assigned child support to insure compliance with time frames and regulations.
  • Receive and respond to inquiries about the Child Support Program or cases.
  • Complete a variety of forms on a production basis, determining which form and proper formats are appropriate using standard quality control instructional worksheets and referrals.
  • Distribute completed legal actions and other documents.
  • Review documents for grammar, spelling and case information.
  • Receive and respond to general case status inquires. Provide basic program information and refer more specific inquires to case managers or management.
  • Update office manuals and library materials.
  • Take, generate, and distribute meeting minutes.
  • Create, organize and maintain various records and filing systems.
  • Serve as receptionist, greeting and directing walk-in customers; answering phones and routing calls, updating computerized coverage calendar; and opening; closing reception area and assisting with building closure.

 

Qualifications Required:

Your State of Oregon PD100 application form will be reviewed to verify that you meet the minimum qualifications stated in this section. To receive credit, your application form must clearly show that you have: 

  • Completion of courses or training in Office Technology; OR
  • One year of general clerical experience which included typing, word processing, or other generation of documents; OR
  • An equivalent combination of training and experience.

 

Working Conditions:

Work is performed in an open office environment with noise from ringing telephones, walk-in traffic, printers, phone conversations, and other office equipment. Must be able to speak clearly, answer questions, elicit information, and take appropriate action. Operate computer keyboard with repetitive and constant finger and wrist movements for long periods of time. Must be able to read and interpret various computer program screens for long periods of time. Must be able to work on many detailed tasks at once and to cope with many interruptions, including computer downtime, as well as frequent changes in forms and procedures.
