The Oregon Employment Department is currently recruiting for a limited duration full-time Office Specialist 2 position, located in Portland. This position is expected to end on or before June 30, 2011 and is represented by the Service Employee International Union (SEIU). This recruitment may be used to fill future vacancies.

TO QUALIFY:
Your PD 100 application form will be reviewed to verify that you meet the minimum qualification as stated in this section. To receive credit your application must clearly show that you have:
- Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
- An Associate's degree in Office Occupations or Office Technology; OR
- Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
This position requires successfully passing a criminal record(s) check. The circumstances of any criminal activity will be reviewed to determine whether an applicant is accepted for employment.
During the current biennium ending June 30, 2011, Employment Department employees are required to take mandatory unpaid time off (furlough days). A furlough is a temporary excused unpaid absence from work. Upon your arrival, your manager will be meeting with you to determine the number of hours or days required to be furloughed.
POSITION PURPOSE:
Provide support to the Employment Service units, maintaining and updating records and files of work performed, creating lists to monitor other activities. Keying Employment Services related data, answering phones as needed and routing calls to staff. Provide front desk reception; directing customers, responding to customer inquiries and other duties as assigned.
MAJOR DUTIES:
- Answer unit telephone in a polite professional manner, , directs calls to appropriate person or unit, takes accurate, detailed messages. Greet customers at front desk. Responds to inquiries from customers to provide information on employment services and access to unemployment services. Receives data for keying. Enters data, proofreads and corrects errors on screen before entering data into computer. When data is incomplete, determines what steps to take to obtain necessary information
- Maintain office equipment and calls for repairs, e.g., fax, copy machines and printers. Assist with ordering, receiving, distributing office supplies. Maintain office inventory and keep stock room organized.
WORKING CONDITIONS:
Busy office environment. Position requires initiative, independence and organizational skills. Must have a thorough knowledge of computer equipment and word processing software. Must be able to work on many tasks and able to cope with constant interruptions.
