EXECUTIVE SUPPORT SPECIALIST 2
(Eastern Oregon Area Office Manager )

$2,585 - $3,547 MONTHLY


GENERAL INFORMATION
  • This is a permanent, full-time position with the Oregon Department of Forestry located initially in Prineville and relocating to sisters following the completion of the new facility in 2011.

  • One year of experience performing administrative duties in support of agency projects or programs.  Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

DUTIES AND RESPONSIBILITIES
 
This position provides management and administrative assistance to the Eastern Oregon Area Director (EOA), the Assistant to the Director, and area staff personnel.  It also provides coordination between districts and Salem on a variety of issues.  Major duties include:
 
Executive Support
  • Provides support to the Eastern Oregon Area staff and assists with meeting objectives.  Produces and evaluates documents and other items relevant to area staff; makes contacts and schedules meetings; maintains the Eastern Oregon Area calendar of events and schedules.
  • Makes arrangements for conferences, tours, seminars and meetings.  Arranges transportation, facilities, and accommodations for staff and members of the public.  Acts as agency representative of area staff in contacts with other employees, executives, professional persons and the general public.
  • Composes and prepares correspondence, responds to correspondence not requiring staff attentions.  Maintains files, reports, instructions, and guidelines.  Prepares agendas, transcribes notes, records and transcribes proceedings meetings and conferences.  Distributes mail and provides reception support.
 
Administrative Support
  • Processes, reviews for accuracy, and approves within authority purchase orders, contract release orders, requisitions, vehicle mileage logs, payroll, grants, and other documents.  Prepares reviews and submits travel expense claims.
  • Compiles, consolidates and/or prepares monthly, quarterly, annual and biennial reports using word processing, spreadsheet and database programs and/or other computer applications.
  • Prepares monthly and quarterly expenditure reports to assure the expenditures are within budget allowance; assists in the preparation of fiscal and biennial budgets for a variety of programs and units active within the Eastern Oregon Area.
  • Serves as Area’s fire finance expert.  Reviews fire finance procedures and makes suggestions for improvements; provides guidance to district staff on fire finance matters.
 
Fire Support 
  • Participates in pre fire season planning and preparations.  Creates, edits, and reviews documents and guides; compiles data into usable formats for EOA fire managers.
  • Periodically serves as EOA duty officer.  Maintains communication during periods of high fire danger.
  • Provides dispatching support.  Serves as the primary user of the EOA ROSS system.  Coordinates resource mobilization from EOA districts to other ODF districts and out of state.
 
The Department's highest priority work is responding to forest fire emergencies.  Therefore, this position may be utilized during those emergencies to provide assistance in a variety of ways.  This assistance may be in direct support of the emergency effort in the field, providing back-up support for another position that is being used in direct aid to the emergency, or performing any other essential function in any area within the agency.
 
WORKING CONDITIONS
Work is generally performed in an office environment.  A major portion of the work is performed at a computer terminal.  Periodic overnight travel is required to attend meetings and training.  Travel may be during times of adverse weather conditions.
