Enterprise Content Management (ECM) is the technology used to capture, manage, store, preserve, and deliver content and documents related to organizational processes. ECM tools and strategies allow the management of an organization's unstructured information, wherever that information exists. ECM software is used to assist in content control associated with business process, and can be used to assure compliance. ECM has emerged from the convergence of many related technologies such as document management, web content management, and collaboration.
ODOT currently licenses FileNet which is an ECM tool. FileNet has been deployed in some business areas such as Right of Way, and is being evaluated by others to aid in managing large volumes of hard copy information and access to those documents using an electronic medium. One large initiative currently underway is the evaluation of using FileNet for enterprise email management. With the ever-growing dependency on email, ODOT has realized the importance of capturing business-critical information that is contained within employee’s email accounts. The ECM Project will likely result in many other initiatives as ODOT moves towards a corporate content management solution.
