Electronic eligibility verification
As with paper claims, you must verify that the client was eligible for service before billing for the service. For information on ways to determine OHP client eligibility electronically, see the OHP eligibility verification page.
Electronic funds transfer (EFT)
EFT, or direct deposit of your payments from DHS, is now available for both paper billers and EDI trading partners. For more information on how to apply for this service, download the form.
Clean your mailboxes regularly
DMAP does not have an automated clean-up system for the SFTP mailboxes, which may result in mailboxes filling up and becoming unable to exchange transactions. Until further notice, all trading partners should delete old files from their trading partner mailboxes to make sure there is room for new transactions, including 997 and TA1 transactions.
Password change utility
For security purposes, you must update your SFTP mailbox password(s) every 90 days. This time starts from the time you are assigned a password and you change it for the first time. You will not receive any reminders to warn you that your password is ready to expire.
- To change your mailbox password, log into the Provider Web Portal using your Trading Partner ID and current password. Once logged in, go to Account-->Change Password. Read the SFTP Password Change Instructions (PDF) for more information.
- For larger organizations, incorrect logins through one mailbox may cause problems for any other mailbox accessed through the same IP address. To avoid this:
- Limit the number of users who access these mailboxes, and make sure they read the SFTP password change instructions.
- If one user changes the mailbox password, make sure all other users who access the mailbox are also aware of the change.
- Ensure that automated scripts and FTP software do not automatically attempt to reconnect after a failed login by setting the default reconnect attempts to zero.
Trading partners east of the Pacific Time Zone
When a trading partner submits a transaction shortly after midnight from time zones east of the Pacific Time Zone, DMAP rejects the submission because the transmission “Cannot have a future date.” The transmission date may be accurate for the trading partner’s time zone, but is read as a future date when it arrives in the DMAP system. To avoid rejections, only send transactions when the transmission date for your time zone is the same as the Pacific Time Zone date.
