Open and Log On to OYA Web Mail

 

A link to OYA's web mail system is available from the OYA webpage at http://www.oregon.gov/OYA.

Click on the OYA Employee Resources link in the left navigation panel to open the Employee Resources page.

Scroll to the OYA Webmail section of the Employee Resources page.

Click the "OYA Web Mail" link.

Ü Or go directly to the URL -- http://oyamail.oregon.gov/

  Add this URL to your list of web favorites (also known as bookmarks), or create a shortcut link on
   your desktop.

Ø    A Welcome screen appears for a few seconds . . . è è

Ø    Then the Microsoft Office Outlook Web Access (OWA) sign-on screen opens.

 

The Microsoft Office Outlook Web Access (OWA) sign-on screen has different log-on options to choose from.

1.      The "This is a Public or Shared Computer" default setting is already selected for you.

DO NOT CHANGE THE PUBLIC/SHARED COMPUTER SETTING!

The Private computer setting is actually less secure and puts both you and the agency at risk.

2.      Use Outlook Web Access Light or Premium?

OWA Light is best for computers using slower connections or have strict browser security settings.  Additionally, OWA Light works in a variety of browsers.

3.      Enter your User Name and Password.

4.      Click Log-On.

Ø View In-Box & Open E-Mail Message

OYA Webmail opens automatically to the user's Inbox. 

 

Unread messages appear in bold type and the number of unread messages are reflected in parentheses behind the Inbox category on the left navigation.

 

 

 

  1. Select the message to read.
  2. Double-click the message to open it,

    or select the message and press Enter on the keyboard.

 

 

 

 

The message opens in a new browser window.

Ø Log Off and Exit OYA Web Mail

1.       Select Log Off at the top of the Web Mail screen

2.       Web Mail closes and the user is prompted with a Close Window message to complete the log-off process.

Close all open browser windows to completely log off of OYA Web Mail.

Ø Send an E-Mail Message

1.      Create a new message – click the  button on the toolbar.

2.      Enter the recipients in the To and Cc fields.

·         E-mail addresses can be entered directly in the To, Cc, or Bcc fields on the message.

·         To send messages to individuals within OYA or the State of Oregon e-mail system, or to individuals or groups that have been set up in the OYA Address List (managed by OYA's Information Systems unit) such as individual juvenile department directors or a specific unit of OYA workers or individuals in the user's Contacts folder.  See Use OYA Address Book below:

3.      Enter a Subject.

4.      Enter the Message into the body of the message area.  See the Tip for setting Spell Check options under Messaging Options.

5.      Send the message - click the  button on the toolbar.

Ø Use OYA Address Book

To access the OYA Address Book . . . and search for the individuals or groups to send the message to:

 

1.      Click the  or  buttons to open the Address Book.

2.      In the Address Book section of the upper left corner window, click "Show other address lists".

3.      Use the vertical scroll bar to move down through the lists.

4.      Select Oregon Youth Authority.

5.      Type the name of the individual or group to search for.

6.      Click the  button – the list jumps to the alphabetical area of the list where the entered name is.

7.      Locate the individual or group and double-click the entry – the name will appear in the To field at the bottom of the screen.

8.      Click OK to close the screen and return the selected address(es) to the message screen.

Ø Reply to an E-Mail Message

Ø Open the message or select the message in the message list.

·         If the message is already open,

1.       Click the  button on the toolbar.

 

The message opens in a new browser window with the To box already addressed to the sender of the original message, the subject is copied from the original message, and the original message is included in the body of the message area.

 

2.       Type the reply into the body of the message area.

3.       Send the message - click the  button on the toolbar.

·         If the message is selected in the message list,

1.       Right-click the message.

2.       Select Reply from the drop-down menu.

 

The message opens in a new browser window with the To box already addressed to the sender of the original message, the subject is copied from the original message, and the original message is included in the body of the message area.

 

3.       Type the reply into the body of the message area.

4.       Send the message - click the  button on the toolbar.

·         Option:  If the original message was sent to multiple recipients and you want to include the other recipients in your reply, click the  button on the toolbar in the open message or select Reply to All from the drop-down menu in the message list.

Ø Forward an E-Mail Message

To forward the original message, click the  button on the Toolbar in the open message, or select Forward from the drop-down menu in the message list.  Type or select from the address book the e-mail address of the person(s) to whom you wish to forward the message.

Ø View Sent Messages

OYA Webmail opens automatically to the user's Inbox. 

1.       Select the Sent Items folder on the left navigation. The display changes to list messages the user has sent.

2.       Select a message – a panel on the right side of the screen displays the contents of the sent message.

Messages in the Sent Items folder can be deleted, replied to, or forwarded.

Ø Delete a Message

1.       Select the message to delete.

2.       Delete the message - click the  button on the toolbar.

Ø Attach a File

 

Ø Open an Attached File

1.      In an open message, attach the file – click the  button on the toolbar.

 

2.      Click Browse to navigate to the location of the file.

3.      When the correct location is in the list, select the file to attach – the name will appear in the File name field.

4.      Click Open to retrieve the selected file to the Attach Files screen.

5.      Click Attach to attach the selected file and return to the e-mail message.

An Attachment field listing the attachment(s) is now part of the e-mail message.

When a message includes an attachment, a paper clip icon  appears next to the message in the message list.

In an open message, open the attachment --

1.       Click the attachment file name in the message heading information.

Outlook Web Access prompts the user to open the attachment by using the appropriate application, or to save the attachment to disk.

Caution  Do not open an attachment unless it is from a trusted source.

TIP:

·         Attachments cannot be modified – they must first be saved to the computer before any edits can be made.

 

TIPS:

·         Attachments are not included in replies – to include an attachment, forward it instead of replying to it.

·         Multiple files can be attached – caution however – this can make the e-mail too large to send or for some recipients to receive.

Ø Messaging Options & Preferences

There are many ways to customize Web Mail options.  Click the Options button at the top of the screen to open the Options page  - the page automatically opens to with the Messaging tab selected on the left navigation.

  1. Set the desired options for displaying, e-mail signature, message format, tracking options, and reading pane options.
  2. Click the Save button at the top of the screen.
  3. Click Mail on the left navigation panel to close the Options page and return to the Inbox.

TIP:  Set Spelling Options for all e-mail –

  1. Click Spelling on the left navigation panel.
  2. Check the "Always check spelling before sending" box.
  3. Click the Save button at the top of the screen.

With this option setting, the user does not need to remember to run the spell-check.
