GENERAL INFORMATION
PERS is seeking Executive Support Specialist 1’s. These are full-time, permanent positions.
These positions are represented by the Service Employees International Union (SEIU)/Oregon Public Employees Union (OPEU). The pay on all announcements may change without notice.

MINIMUM QUALIFICATIONS
Three years of clerical/secretarial experience which included:
One year at a full performance level performing typing, word processing, or other generating of documents; and lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience. No substitution will be made for the one year at the full performance level. To receive credit for required courses, you must submit a photocopy of transcripts.

PURPOSE
Serves as the executive administrative support person for the assigned division administrator. Manages, coordinates, and directs the administrative support operations. The position is privy to confidential discussions and information and is expected to maintain strict confidentiality.
MAIN DUTIES
Provides confidential secretarial support.
Maintains administrator’s calendar.
Researches, complies, and analyzes information/data, prepares letters, narrative and statistical reports.
Coordinates meetings and conferences.
Assembles, edits, summarizes and copies materials.
Tracks expenditures against budgeted dollars. Tracks payment of division’s monthly bills, travel arrangements, training requests, and purchase orders.
Participates in special research and administrative projects.
Orders necessary supplies and equipment.
Coordinates special projects.
Develops and recommends improvements to division office procedures and internal policies.
Formats and assists in preparing narratives for budget documents.
Coordinates division related personnel and payroll activities.
WORKING CONDITIONS
Air conditioned, smoke free office environment. Prolonged PC work. Subject to daily deadlines and frequent interruptions. Occasional overtime and travel. Essential job duties must be performed with or without reasonable accommodations.

- Describe your experience in providing confidential executive support. Describe work experience including: correspondence preparation; payroll or attendance/leave tracking; meeting and special event planning; file management (both electronic and paper); project coordination; and document tracking.
2. Describe your desktop computer experience, including word processing, spreadsheets, databases, presentation/graphics, automated e-mail and calendar program. Indicate the type of software used for each.
3. Describe your experience in assisting with preparation and/or tracking of contracts and budgets.
