The following information is for partners, clients, and providers who need assistance in retrie​ving a secure email sent from a DHS or OHA employee.

About Secure email

 

Various federal and state laws require DHS and OHA to encrypt, or secure, email containing confidential information. Encrypted email is scrambled so that unauthorized parties cannot read it. DHS/OHA uses a special email system to encrypt e-mail sent to people outside of our agencies.

 

 

How secure email works


You will receive an email to your personal account telling you that you have a secure message from DHS/OHA. That email contains a link or button that you click to retrieve your secure message. You must be connected to the Internet and have a web browser in order to view your message.

 

 

Retrieving your secure message


Open the notification message you received in your personal email account. Click on the button or link in the notification email. It will look like one of the following depending on your personal email settings:

 

 

 

Clicking the link opens a secure web page where you can read your message.

 

 

Replying to a secure message


Use the Reply or Reply to All buttons in the secure message to respond to your secured message. Your reply will be routed back through the secure email system and will also be encrypted.

 

 

Caution! Do not reply to the original notification email you received to your personal account. It will NOT be encrypted. Only reply to the secure message as shown above.

 

Save or Print a secure message


Secure messages are available on the web for only 30 days. After that, they are deleted. The date your message will be deleted is included in the initial notification email. You must print or save the secure message to your computer if you want to keep a record of it.

To print a secure message using Internet Explorer:

  1. Open the secure message in your browser. See instructions above for "Retrieving your secure message."
  2. Click File on the browser menu bar.
  3. Click Print.
  4. Verify or change any print settings.
  5. Click the Print button.

To save a secure message using Internet Explorer:

  1. Open the secure message in your browser. See instructions above for "Retrieving your secure message."
  2. Click File on the browser menu bar.
  3. Click Save as.
  4. Navigate to a folder on your computer where you want to save the file.
  5. Verify or change the File name and Save as type options.
    We recommend you select Text file (.txt) in the ‘Save as type’ box.
  6. Click the Save button.
