Retrieving a Secure Email

The following information is for partners, clients, and providers who need assistance in retrieving a secure email sent from a DHS or OHA employee or need assistance initiating a secure email to a DHS or OHA employee.

If you are a DHS/OHA employee and need assistance with secure email, please visit the employee intranet for assistance.

About Secure Email

Various federal and state laws require DHS and OHA to encrypt, or secure, email containing confidential information. Encrypted email is scrambled so that unauthorized parties cannot read it. DHS/OHA use a special email system to encrypt email sent to people outside of our agencies.

How secure email works

You will receive an email notification to your personal account telling you that you have a secure message from DHS/OHA. That email contains a link that you click to retrieve your secure message. You must be connected to the Internet and have a web browser in order to view your message.

How to set up your account

The first time you receive a secure email from DHS or OHA, you will be asked to set up an account. Select the “Click here” link in the notification email you received to enter your first and last name and create a password, then select “Continue.” The secure email you received will be displayed.

Retrieving Your Secure Email

Select the “Click here” link in the notification email you received.  If you are already registered, you will be asked to provide your password.

Clicking the link opens a secure web page where you can read your message.

How to initiate a secure email

To initiate a secure email to a DHS/OHA employee, please visit this link:

https://secureemail.dhsoha.state.or.us/encrypt

If you already have an account, enter your email address and click “Continue”. You will be prompted to enter your password. If you do not have an account, you’ll be asked to register.

 

Replying to a secure email

Use the Reply or Reply All buttons within the secure email system to respond to your secured email. Your reply will be routed back through the secure email system and will be encrypted.

Note: Do not reply to the original notification email you received to your personal account. It will NOT be encrypted. Only reply to the secure email as mentioned above.

Save or Print a secure email

Secure emails are available for only 30 days. After that, they are deleted. The date your email will be deleted is included in the initial notification email. You must print or save the secure email to your computer if you want to keep a record of it. 

To print a secure email using Internet Explorer:

1. Open the secure email in your browser. See instructions above for "Retrieving your secure email." 

2. Click File on the browser menu bar. 

3. Click Print

4. Verify or change any print settings. 

5. Click the Print button.

To save a secure email using Internet Explorer:

1. Open the secure email in your browser. See instructions above for "Retrieving your secure email." 

2. Click File on the browser menu bar. 

3. Click Save as

4. Navigate to a folder on your computer where you want to save the file. 

5. Verify or change the File name and Save as type options. We recommend you select Text file (.txt) in the ‘Save as type’ box. 

6. Click the Save button.

Contact the DHS/OHA employee who sent you the original notification email for help in retrieving or replying to your secure email.
