Training Rosters

With the exception of mandated training, all trainings entered via a Training Roster or an Individual Training Log are not certified or validated in by DPSST.  DPSST Training records provide a listing of trainings the officer has taken however any specific details regarding course content would need to be obtained from the officer or their employing agency.

The Criminal Justice Administrative User Guide has comprehensive explanations of the criminal justice certification processes.

F6 Training Rosters

The F6 Training Rosters list one course with multiple employees.  They are recieved from instructors, agencies, conference coordinators and vendors.  As such, duplicate training entries are constants with training entry.

Key points regarding F6 Training Rosters:

  • Instructed hours listed will be added to an officers training record; however these hours cannot be utilized for maintenance or upper levels of certifications
  • CPR and First Aid Certification must be reported using the F6 training roster.
  • If a DPSST number is not listed, DPSST skip that officer entry and they will not get credit towards the training.
  • DPSST strives to enter rosters on the day of receipt, however depending on the type of rosters received that day will increase the time it takes to date enter.  Along with the number of officers listed on a roster, the speed of entry is also determined by how we receive the roster.  Below is a list in order of Fastest to slowest to enter:
    • Fastest: eRoster (detailed below).  Regardless of the number of officers on the roster it will be entered first.
    • 2nd:  Typed, PDF'd rosters emailed to DPSST.  (Process is slowed by lines marking out persons not in attendance and the number of officers on the roster.)
    • 3rd:  Typed rosters faxed or mailed to DPSST. (Process is slowed by lines marking out persons not in attendance and the number of officers on the roster.)
    • 4th:  Written rosters (process is slowed by deciphering and manually entering handwritten DPSST numbers and the number of officers on the roster)

F6 eRosters

F6 eRosters were introduced in 2016 as a way to speed up roster entry and provided simplified submission processes for agencies.  The eRoster is essentially an Excel document that, when submitted to DPSST, processes can be run to pull the data out and import it into IRIS with no data entry.  Agencies using it enter the course/attendee information and email directly to DPSST.

Key Points:

  • Everything listed in the F6 Roster section above applies to eRosters
  • Because there is not signature on the form, agencies must sign up for the eRoster program.  Part of the signup process is identifying an authorized signer.  That signer will receive the eRoster, but they can delegate authorization by forwarding it to staff that will process and submit.
  • To enroll, review the eRoster Application and submit the authorization page at the end.

F15 Individual Training

The F15 individual training log lists one individual with multiple trainings.  It can be used in place of an F6 or F6e when one individuals has multiple trainings that have not been previously sent to DPSST.

Key Points

  • Training hours for F15s for training that occurred while an officer was employed out of state will be entered as a lump sum under and out of state training entry in IRIS.
  • Due to the added work to enter, DPSST's preference is to receive F6s instead of F15 for current trainings.
