UI Modernization Project Update

What we're working on right now...

Frances Functionality

Frances will generate, manage, and store letters. We are working as a team to create consistent, easy-to-read letters. As a customer, you will be able to see many of your letters in your Frances Online account as soon as they are mailed. Our staff will also be able to search and see those same letters to better answer your questions and help you do business.

Employers will also be able to:

  • File and amend wage reports
  • Manage online account access
  • Apply for an Equivalent Plan with Paid Family and Medical Leave Insurance
  • Update mail delivery preferences
  • Update contact information
  • Utilize the Interactive Assistant to get questions answered
  • View online submissions, letters, and tax rates

 

Learning About Our Customers

On February 3, we sent a survey to Employers who will begin using Frances Online for their third quarter filings after Labor Day weekend 2022. The survey will be open until end of day February 17 and asks current system and service questions and if they are interested in being part of upcoming focus group conversations. 

 

Data Conversion

We've completed our fourth Full Mock Conversion. This means we take the full customer data set, a total of 474K taxpayers, from the existing system, convert it, enter the data into Frances and then verify that it converted properly. These practice runs ensure we're ready for the official "cut-over" of Rollout 1 over Labor Day weekend 2022.

 

Supporting Changes

The project team continues to meet with the business areas to be certain they understand the way things are currently done. The team has been job shadowing areas impacted by the first rollout of Frances and are identifying business processes that will change. They will map out the new processes as the system is configured. When the new processes are complete, the team will work with managers to make sure our staff understand the new way of doing things.

Will Frances work on mobile devices? 

Yes, Frances Online will adjust based on the device - computer, cell phone or tablet - being used. Text and images will change from a three-column layout to a single column display.

Will customers be able to update contact information in Frances?

Yes, Frances Online will allow updates to business contacts and address information in real-time.

Will I be able to see images of documents in Frances?

Yes, many of the documents that customers receive in the mail will be available for viewing in Frances Online.

Will Frances replace the Oregon Payroll Reporting System (OPRS)?

Yes, Frances will replace OPRS when we go live with Rollout 1 in September 2022.
