New DOC Public Records Request Online Portal -
The Oregon Department of Corrections (DOC) is launching a new, user-friendly online system provided by GovQA for submission of public records requests. Following this transition, DOC will no longer use the email addresses currently utilized for records requests. Requesters will be directed to the new portal for submitting a records request. All communication will be directed through the portal. For government agencies requesting records, please submit your request by following the instructions on our website.
Submitting a Public Records Request
The Oregon Department of Corrections is dedicated to responding to public records requests per the Public Records Law (
ORS 192.324). All requests for Department of Corrections records must be in writing.

Record requests for the following records must be submitted as follows:
A public records request for a Pen Pack that contains public information prints, facesheets (first and last), photo, court/sentence orders or judgements, and many include discharge of parole, revocation recommendation, and structured violation sanction shall be submitted as follows:
- Public (to include the defense attorney and the public defender's office)
To help locate responsive records to your request, please describe in as much detail as possible the following:
- Specify the type of records you are looking for
- Name of the AIC and SID# (if records involve an adult in custody)
- Subject matter
- Approximate dates records were created (date range of records)
- Any public records requests for AIC court documents should be made with the county of conviction.
The request must also include your:
- Name
- Mailing address
- Telephone number (in case we need to call for clarification)
- Email address
Process
In general, the Department will adhere to the following process:
- The request is received by the appropriate unit
- The Department may contact the requestor for clarification
- The institution or unit with the information will prepare and send an estimate of the fees to fill the request
- Upon receipt of payment for the request, the institution or unit will provide responsive records
Fees
In accordance with ORS 192.324, DOC may charge a fee reasonably calculated to reimburse the agency for the actual costs of providing public records. The costs associated may include locating, copying, reviewing, redacting, and mailing the documents. Fees will vary depending on the information being requested and the actual time required to search for and provide responsive records.
Payments accepted include:
- Money order
- Cashier's check
- Business check
- NO personal checks
Staff Time
$25 per hour for clerical staff
$40 per hour for managerial-level staff
$75 per hour for professional-level staff
Oregon Department of Justice or other applicable legal fees are charged at the actual hourly rate as set by ORS 192.324(4)(b).
Photocopy Charges
Based on the current state, the printing and distribution price list.
CD/DVD or other Media Storage
Based on a statewide price agreement with the provider of office supplies.
Postage
Actual cost for delivery of records.
