Public Records Request

Overview

Members of the public may request access to records maintained by the Oregon State Board of Architect Examiners (OSBAE) in accordance with Oregon public records laws.

Submit a Public Records Request

To request public records from OSBAE, complete and submit the Public Records Request Form.

To help expedite processing, please provide as much detail as possible when identifying the records you are requesting.

Examples include:

  • Document title
  • Report name
  • Meeting date
  • Subject matter
  • Record type

The more specific the request, the more efficiently OSBAE may be able to locate responsive records.

Public Records Request Process

Step 1 — Submit Your Request

Complete and submit the Public Records Request Form.

Step 2 — Agency Review

OSBAE will review your request to determine:

  • Whether responsive records exist
  • Whether OSBAE is the custodian of the records
  • Whether any exemptions apply

If another agency maintains the requested records, OSBAE will notify you and provide information regarding the appropriate agency when available.

Step 3 — Cost Estimate

For requests with estimated costs exceeding $25, OSBAE will provide written notification of the estimated fee amount as required by Oregon law.

The requester must confirm that OSBAE should proceed with processing the request.

Step 4 — Payment

Applicable fees must be paid before records are released.

Step 5 — Records Delivery

Upon completion of processing and payment, records will be provided to the requester.

Fees

Public records request fees are calculated pursuant to the Department of Administrative Services Policy.

Fees may include:

  • Staff research time
  • Record retrieval
  • Copying costs
  • Administrative costs
  • Legal review costs

Records Inspection

Individuals who choose to inspect records in person may still incur applicable fees associated with locating, preparing, reviewing, or producing records.

Fee Waivers and Reductions

OSBAE may approve a fee waiver or fee reduction when doing so is determined to be in the public interest and primarily benefits the general public.

Requests for fee waivers or reductions will be evaluated on a case-by-case basis.

Appeals and Petitions

A person who believes there has been an unreasonable denial of:

  • A public records request
  • A fee waiver request
  • A fee reduction request

may petition the Attorney General as provided under Oregon public records law.

Information Exempt from Disclosure

Certain records or information may be exempt from disclosure under Oregon law.

Electronic Mail Address Exemptions

Information exempt under ORS 192.355(40)(a) may include:

  • Electronic mail addresses maintained by public bodies as defined in ORS 174.112, the legislative department, as defined in ORS 174.114, a local government or local service district, as defined in ORS 174.116, or a special government body, as defined in ORS 174.117.

Personal Information Exemptions

Information exempt under ORS 192.377 may include:

  • Residential addresses
  • Telephone numbers
  • Personal email addresses
  • Personal cellular telephone numbers
  • Social Security numbers

Investigative Records

Under ORS 671.090(2), investigative reports related to certain investigations conducted under ORS 671.090(1) may be exempt from disclosure.
