Web Invoice FAQs as of 6/27/2011

If you are already designated as a “User,” type in the Web address: https://columbia.das.state.or.us/fleet/invoice/xxxxxxxx (where xxxxxxxx is your agency number plus one extra zero on the end).
 
If you are not already a designated “User,” contact your agency’s Security Officer or Alternate to send authorization to Fleet’s Billing Coordinator by e-mailing Motor.Billing@state.or.us.  They can either fill out the User Request form or e-mail the following information: First, middle initial and last name; e-mail address, RACF ID and who you are replacing, if anyone.
 

A RACF ID is the ID that is used to access the DAS Mainframe.  If you do not have one, you may use your PPDB ID number that can be given to you by your agency personnel officer.

 
A new Security Officer Request form needs to be completed, signed and either faxed to 503-378-5813 or mailed to 1100 Airport Rd SE, Salem OR 97301-6082.

 
Your agency’s Security Officer or Alternate sends the authorization form to Fleet’s Billing Coordinator by e-mailing Motor.Billing@state.or.us.  They can do this by either filling out the User Request form or e-mailing the following information: First, middle initial and last name; e-mail address, RACF ID and who the new User is replacing if anyone.

 
The invoices are in PDF and Excel format.

 
If you signed in with your correct User ID and Password and you receive an error message or nothing happens, you need to change your Password.  Unfortunately the system, does not tell you that your password has expired.

 
You can either change your expired password via the Internet at https://columbia.das.state.or.us:3025/cics/wtst/daswpscp/ or you can change it through the Mainframe using the CESN screen.  If you change your DAS Mainframe password it changes it for access to the Web Invoice system.
 
First alternate way to change your password
If you are unable to change your password by using Mainframe or the internet site then:
Click on Start
Click Run
Type: cmd
Press Enter
Type: ftp columbia.state.or.us
Press Enter
Type your ID number
Press Enter
Type your password/(type your new password)/(and type your new password again) Do not use spaces.  Remember your password must be 7 to 8 characters long with at least one being numeric.
Press Enter
If you successfully changed your password type: quite, press Enter, type exit, and press Enter
 
Second alternate way to change your password
Enter your agency’s Motor Pool Web Invoice page.  It will look something like this: https://columbia.das.state.or.us/fleet/invoice/XXXXXXX
(The XXXXXXX would be your agency number plus an extra zero on the end)
Once you hit Enter, you will get a pop up box that shows “DAS_ENTERPRISE_SERVER”
User name:
Password:
Enter your User ID for the User Name.
Enter your expired password or temporary password in the Password cell, but after you type it type, “/your new password/your new password again” (no spaces) and then hit Enter.
The box will reappear and now enter your User ID as your User Name and your new password that you just changed in the Password field and hit Enter.

 
You will need to e-mail GGDC Security to have your password reset.  Their e-mail address is DAS.RACFUserAdm@state.or.us.

 
Your password expires every 90 days.  Unfortunately, no notification is sent.  You may wish to place a reminder on your calendar every 85 days to reset your password.

 

• Must be seven or eight characters.
• Must contain at least one number and one letter.
• Must differ from previous passwords.
• Must be changed every 90 days.
• Should have numbers somewhere in the middle if using 1 or 2 numbers, not at the beginning or end.

The two are linked since your User ID is the same as the ID you use when you sign on the Mainframe screen.

Three months

 
As a result of offering the invoice in Excel format, a separate spreadsheet is created as each section has different headings.

 
When you are viewing your agency’s invoice, you will notice that there are separate links for each section of your invoice.

Your agency won’t necessarily have all of these sections every month.  Depending on your agency’s need and use, you will see either all or some of these links.

 
The invoices are by year, month and then in alphabetical order by file type and section name.
