| OSPA User Forums |
|
OSPS hosts quarterly user forums to share major application changes and new processes and provide guest speakers on payroll-related issues. Past forum guest speakers have included representatives from PERS, PEBB, IRS, The Standard Insurance Company, Social Security Administration and many others. We announce Forum agendas before each meeting in our electronic newsletter, OSPS E-News and the OSPS Training News, published on the first working day of each month. If you miss the announcement, please call the OSPS Helpdesk at (503) 378-6777, option zero, we will be happy to fill you in. We encourage every agency payroll staff member, and fiscal or personnel staff with payroll functions, to join us at each forum.
Location and Time OSPA User Forums are normally from 2 p.m. to 4 p.m. in the Auditorium, Veterans' Affairs Building, 700 Summer St. NE in Salem. Employees who are unable to attend in person may participate through an OregonConnect virtual meeting and teleconference option.

OSPS offers the following core beginning classes for new payroll staff members. If you would like additional information about a class, see Previous Training Presentations below.
Frequently Used Screens in OSPA (7 hours) For staff members who are new to OSPA, this class provides hands-on experience with the most frequently used screens in OSPA, including the PTB1, PTB2, PTD1, PTD2, PTW1, PTW2, P001, P002, P003, P004, P010, P020, P030, P032, P050, P070, P090, P160 and P430.
New Employees in OSPA (7 hours) For new staff members, this hands-on class covers the basic steps in setting up a new hire in OSPA. It also covers the entries for some exceptions, such as PEBB opt out, decline, and domestic partners.
Separating Employees in OSPA (6 hours) For new staff members, this hands-on class covers the basic steps in processing a separating employee due to a resignation, retirement, or death.
Reading the OSPA Payroll Register (Online class, 1 hour) Reading the OSPA Payroll Register is an online class through iLearn Oregon. It is a required prerequisite for Problem Solving with the Payroll Register, a seminar-style class. The online class focuses on reading the detailed data on the registers. It covers data from the P030 Job Status Data screen, the source of gross wages, deductions from the P070 Deductions and Deduction Adjustments screen, FIT, SIT, WBF and PERS and method of payment.
Leave Accrual in OSPA / LARS (Online Curriculum, 5 hours total) This online curriculum in iLearnOregon includes five modules: Part 1, Overview of Leave Accrual in OSPA / LARS; Part 2, Leave Reports; Part 3, Vacation Leave; Part 4, Personal Business and Part 5, Compensatory Time. Each module takes 30-60 minutes to complete. We recommend taking Part 1 and Part 2 first. The others can be taken in any order.
Classes For More Experienced Payroll Staff Each year, we may offer some of the following classes for more experienced payroll staff. If you would like additional information about a class, see Previous Training Presentations below or contact the OSPS Help Desk.
- Deceased Employees in OSPA (6 hours)
- Employee Overpayments in OSPA (4 hours)
- Employee Transfers in OSPA (7 hours)
- OSPA Exception Reports (4 hours)
- Problem Solving with the OSPA Payroll Register (3.5 hours)
- Protected Leave in OSPA (7 hours)
- Requesting a Corrected W-2 (W-2c) for a State Employee (4 hours)
- Retroactive Entries in OSPA (4 hours)
- Year-end Mini-conference (3 hours)

Fees: OSPS does not charge for OSPS developed training. However, Financial Business Services (FBS) does charge a $50.00 fee when a student registers for an OSPS class conducted in a computer lab and does not cancel 48 hours prior to the class or send a substitute. This fee is included in the Statewide Price List of Goods and Services.

| Online Classes |
|
OSPS has begun to offer online classes through iLearnOregon. Students can complete them at their desks at a time that is convenient for them. The classes include:
Calculating FIT Withholding in OSPA (1 hour) This class walks through the steps OSPA takes in calculating federal income tax withholding during a payroll run.
Calculating Retirement Contributions in OSPA (1 hour) This class walks through the steps OSPA takes in calculating PERS retirement subject wages and contributions during a payroll run.
Leave Accrual in OSPA / LARS (Series of 5 Classes, 5 hours total) There are five one hour classes on how OSPA / LARS handle leave accrual, usage and reporting. The classes include: Part 1, Overview of Leave Accrual in OSPA / LARS; Part 2, Leave Accrual Reports in OSPA / LARS; Part 3, Vacation Leave in OSPA / LARS; Part 4, Personal Business Leave in OSPA / LARS; Part 5, Compensatory Time in OSPA / LARS.
Reading the OSPA Payroll Register (1 hour) This class explores the detailed data found on the OSPA Payroll Registers. It is a required prequisite for Problem Solving with the Payroll Register, a seminar-style class. See the tutorial in iLearnOregon on How to Take an Online Course.

| How to Register |
|
Both the online and classroom courses are in the online course catalog in iLearnOregon. Search by OSPS, OSPA, or payroll. Enroll from the catalog listing. Prior to logging in, if you need help setting up an account, enrolling in a class, printing a certificate, etc., click on iLearn Help Resources in the lower right corner of the login screen. Once you have logged on, the left panel in iLearnOregon includes the iLearnOregon Help Center. If you have questions or problems, click on "Email DAS Support" on the iLearnOregon logon page.
