HMIS Meeting Materials: Oct. 13, 2025

This is a monthly meeting convened by the Oregon Multi-CoC (OMC) HMIS Governance Committee for the purpose of assisting the administrator (OHCS) in communicating information and developing site protocols for planning and design that impact the OMC HMIS site. Participating Continuums of Care (CoC) include OR-502, OR-503, OR-504, and OR-505.

Meeting Minutes

Minutes from previous meeting (Aug. 8) were approved and seconded.

Client Search – Include 4.21 Sex & 3.06 Gender?

  • Ongoing issues with the HMIS client search tool, particularly the missing “4.21 Sex” field. 
  • Update pending from WellSky; no ETA. 
  • Desired change coming in update 5.17.01 
  • OMC has demographics enabled; other COCs prefer limited fields.
  • One provider who provides services across the state are in need of using all client search fields.

Assessments

  • Agencies are reviewing and updating assessments. 
  • New mental health consultation question added to SSVF assessments. 
  • Clarification on HUD vs custom versions of assessments.

HMIS Solutions Project Update

  • Official kickoff completed. 
  • Reviewed some of the system requirements from the Portland Regional HMIS implementation that are being used as a template for new OMC. 
  •  Interest in features like client portals, API integration, and real-time data access. 
  •  Discussion on vendor capabilities, including Business Objects and reporting tools.

New SAP BO Reports – OMC Standard Reports

  • Angela Mullins shared new and updated reports in the OMC Standard Reports folder. 
    • OHCS System Query v2.6 2024 Serv Client ID 
    • OMC Program Performance v2.3
    • OMC_Whodunnit_Users and Providers Creating Entries & Client Records v3
    • OMC_Provider Admin Settings v3.0 
    • Tom McQueeny-Rose is currently auditing OMC/OHCS reports and creating a catalog of resources available to end users. This effort is aimed at improving data accuracy and enhancing usability. Announcements/Updates Benton/Lincoln/Linn counties CoC status - not moving forward at this time. They will be staying in the Balance of State.
