HMIS Meeting Materials July 13, 2026

This is a monthly meeting convened by the Oregon Multi-CoC (OMC) HMIS Governance Committee for the purpose of assisting the administrator (OHCS) in communicating information and developing site protocols for planning and design that impact the OMC HMIS site. Participating Continuums of Care (CoC) include OR-502, OR-503, OR-504, and OR-505.

    Meeting Minutes

    1. Minutes from May 11, 2026 meeting were approved
    2. Topic: Do we provide resources for HIV positive clients during the CE process?
      • The group talked about whether resources are shared with HIV‑positive clients during Coordinated Entry (CE).
      • Some agencies already provide referrals if a client asks. Others said they do not share specific health details to protect privacy. The group agreed they should look into what resources exist and whether guidance should be added to CE scripts.
    3. Topic:WellSky Community Services Multi-factor Authentication
      • WellSky will soon change how users log in.
        • Users will log in with their email addresses instead of usernames. 
        • Multi factor authentication will be added, which may include text or email codes.
        • Password resets should become easier.
      • The OHCS HMIS team will share screenshots and instructions once they receive them.
    4. Topic: OMC HMIS Newsletter Content Ideas
      • The OHCS HMIS team wants to start a quarterly HMIS newsletter. I
        deas included: 
        • Common data errors and how to fix them 
        • How OHCS uses collected data. 
        • Reminders to keep client profiles updated.
        • Fun data jokes.
      • Members also suggested names like “OMC Gazette” or “Quad Squad Chronicle.
    5. Topic: OHCS Data Quality Reports – Service Transactions No Entry
        • Service Transactions No Entry Next fiscal year, OHCS will look more closely at service transactions that do not have associated project entries. 
        • There is also a known glitch in the service transaction report (outside of project entry window) where the system uses only the first project entry date for clients with multiple entries. The team is working to fix this. 
    6. Topic: HMIS Satisfaction Survey Results
      • Angela Mullins shared results from the statewide survey: 
        • 36% of users responded, which is higher than expected. 
        • Many users want better training, clearer workflows, and fewer clicks. 
        • People requested easier error correction, better reports, and more modern tools. 
        • Users also want systems to connect better with other databases they use. 
      • Members talked about needing help finding and using reports in SAP Business Objects and Report Writer. 
        • Bobby Christensen offered to help teach others how to use ReportWriter. 
    7. Topic: Announcements/Updates
        • OHCS P&E HMIS Team Office Hours
          • HMIS Office Hours had about 38 attendees last week. These sessions will continue monthly to provide extra training.
